Several employees on one phone

"Who's scanning?": each employee stamps in their own name on the counter phone, with or without a code.

Updated October 12, 2026 · 4 min

One phone stays signed in at the counter, but each employee wants their entries in their own name. That is what "Who's scanning?" is for: you know who stamped what, and nobody has to sign in again.

What the team sees

  • At the top of the Stamp screen, a row of chips: "Counter" (the account signed in on this phone) and one first name per employee allowed to scan.
  • Each employee taps their first name before serving. A line confirms it: "Scanning as Sarah".
  • The next entries (stamps, purchases, rewards, undos) are recorded in Sarah's name, until someone else taps their chip.
  • The chips only show when the feature is on and the team has at least one employee allowed to scan, besides the owner.
  • With several locations, only the employees of this phone's location are offered.

The 4-digit code (optional)

Without a code, anyone can tap any first name. To prevent that, the owner can ask for codes: a padlock shows on the chips, and tapping a name opens a keypad ("Enter your 4-digit code"). Five wrong codes in a row lock the chip for 5 minutes. "Counter" never asks for a code. Each employee creates their own code:

  1. Open the account menu (at the top), then "My profile": you land in Business → Account and subscription.
  2. In the "Counter code" card, enter 4 digits, then "Save the code". Codes that are too easy (1234, 0000…) are refused. This card only shows when the owner asks for codes.
  3. To change or remove it: "Change the code" or "Remove my code".

For the owner

  • The settings are in My card → Rewards and rules, "Who's scanning?" block (owner only).
  • "Let employees pick who is scanning": on by default. Switched off, the chips disappear and everything is recorded in the name of the signed-in account.
  • "Ask for a 4-digit code": off by default. An employee who has no code yet cannot be picked until they have created one.
  • "Back to Counter after": never, or 5, 15 or 30 minutes without an entry. After that, the next entries go back to the signed-in account. A choice never lasts more than 12 hours anyway.
  • An employee forgot their code? Business → Team, "Customize" next to their name, then "Reset the code". You can never read a code, only reset it; the person creates a new one.

Rights stay those of the account signed in on the phone: tapping a chip changes who the entries belong to, not what anyone is allowed to do. Find who did what in Business → Team ("Scans by member") and in Customers → Live activity ("by Sarah").
